Accounts Payable Specialist

Our nonprofit client is seeking a detail-oriented and mission-driven Accounts Payable Specialist to join their finance team. This individual will be responsible for processing vendor invoices, maintaining accurate financial records, and supporting the organization's commitment to fiscal responsibility and community impact. The ideal candidate will have strong AP experience, excellent organizational skills, and the ability to work in a collaborative environment.

Key Responsibilities

  • Process high-volume vendor invoices accurately and timely.
  • Review invoices, expense reports, and payment requests for proper approval and coding.
  • Prepare and process weekly check runs, ACH payments, and electronic fund transfers.
  • Reconcile vendor statements and resolve discrepancies.
  • Maintain vendor records, including W-9s and payment documentation.
  • Assist with month-end close activities, including AP accruals and account reconciliations.
  • Respond to vendor inquiries and maintain positive vendor relationships.
  • Ensure compliance with nonprofit accounting policies, grant requirements, and internal controls.
  • Support annual audits by providing required AP documentation.
  • Collaborate with program managers and internal departments regarding expenses and budget tracking.

Qualifications

  • 2+ years of accounts payable experience required.
  • Experience working in a nonprofit organization is preferred.
  • Knowledge of general accounting principles and AP best practices.
  • Proficiency with accounting software and Microsoft Excel.
  • Strong attention to detail, accuracy, and organizational skills.
  • Excellent communication and customer service abilities.
  • Ability to manage multiple priorities and meet deadlines.
